Scheduling support built for how Florida practices actually run: winter-season demand, hurricane-season closures, Medicare-heavy panels and bilingual patients, all managed inside your own scheduling system.
Appointment scheduling in Florida is not the same job as in most other states. Demand swings with the seasons, storms can close an office for days, many patients are on Medicare or Medicaid managed care plans, and a large share of calls come in Spanish. A remote virtual medical assistant (VMA) manages your calendar inside your own scheduling software, with the visit-type and provider rules you set.
Good fit for: Florida primary care and specialty practices with seasonal volume, Medicare-heavy panels or a bilingual patient base.
Many Florida communities fill up with seasonal residents in the cooler months, and schedules that are manageable in summer can overflow in winter. A VMA helps you get ahead of it:
Atlantic hurricane season runs from June 1 to November 30. When a storm is forecast, the worst time to plan rescheduling is after the office has closed. With your practice, the VMA sets up a written plan in advance:
Florida has one of the oldest populations in the country, so many schedules are built around Medicare visits. The VMA can check eligibility for services such as the Annual Wellness Visit (Medicare covers one every 12 months), confirm which Medicare Advantage plan and network the patient is in, and book longer visit types where your templates call for them. See insurance verification.
Most Florida Medicaid recipients are enrolled in the Statewide Medicaid Managed Care (SMMC) program. Its newest contract period began on February 1, 2025, reorganizing the state into 9 regions with new plan contracts, so some patients' plans have changed. Checking the current plan at the time of booking avoids surprises at check-in.
Bilingual English/Spanish VMAs are available for booking, confirmation and reminder calls. In areas with Haitian Creole-speaking patients, the VMA arranges interpreter support according to your practice policy.

Your providers decide visit priorities, clinical triage and anything medical. The VMA follows your scheduling rules and escalates anything clinical to your staff. Access is limited to the systems you approve, under a signed Business Associate Agreement.
Before the season, the VMA works with your practice on a written plan: a list of appointments in the likely closure window, pre-approved closure and reopening scripts, and a priority order for rebooking. During and after a closure the VMA reschedules patients remotely, as long as your systems are reachable.
Yes. The VMA checks coverage before the visit. Original Medicare works across states, but many Medicare Advantage and commercial plans limit out-of-network or out-of-area care, so the VMA flags these cases for your team.
It helps. Most Florida Medicaid recipients are in the Statewide Medicaid Managed Care program, which started a new contract period with new plans and 9 regions on February 1, 2025. Checking the current plan at booking avoids surprises at check-in.
Yes. Bilingual English/Spanish VMAs are available for booking, confirmation and reminder calls. For other languages, the VMA arranges interpreter support according to your practice policy.
Yes. The VMA works inside your practice's own scheduling software and EHR, using your visit types and provider rules. You do not need to adopt a new platform.
